POLICIES AND PROCEDURES FOR BOSKYDELL PONY CLUB

 

EXECUTIVE BOARD

The Executive Board is comprised of the DC, Joint (Jt.) DC, the Club Secretary and the Club Treasurer.  The Executive Board is responsible for making Club Policy and bringing that information to the sponsors? meetings.  The Executive Board will meet as needed.  The members of the Executive Board hold their positions for one year.  At the Annual Sponsors Meeting in the fall, the Club Treasurer and the Club Secretary are nominated and voted on by the Sponsors.  Sponsors recommend individuals to the MidSouth Regional Supervisor to act as DC and/or Jt. DC.  The Regional Supervisor makes the final approval of DC and/or Jt. DC.

MEETINGS

Members:  It is to your benefit to attend as many meetings as possible.  If you are contemplating Rally, Testing, Quiz or other Pony Club activities the monthly meeting is the place where you will get that information.  The BPC schedules one unmounted meeting and one mounted meeting per month.  Schedule changes may be made in response to other commitments of the members.

Sponsors:  Sponsors are the adult members that help to maintain the integrity of the Pony Club.  Most of the activities that are planned cannot happen without adult help.  Sponsor meetings are held the last Monday of every month, with the various sponsors acting as host/hostess.

TESTINGS

Members:  D1-C2 testings are Club Testings; testing dates will be established as needed.  Club ratings require 3 or more participants.  If an individual member cannot make a Club testing date, arrangements may be made through the DC or Joint DC for individual testing.

C3 testing is a National Testing.  Application must be made to the National Office each year.   This is an advanced testing opportunity and Pony Clubbers should be familiar with all of the requirements at this level before they attempt this level.  With the help of the DC or Jt. DC, arrangements are made.  DCs must sign off at this level, stating that the candidate is prepared to test at this level.  Individual fees and travel arrangements are the responsibility of the Pony Clubber.

B, HA and A are National Testings.  Application must be made to the National Office by April 1 of each year.  It is the responsibility fo the Pony Clubber to be extremely familiar with the Pony Club Standards and requirements at each level and have an adequately prepared horse for the B and A testing.  DCs must sign off on a candidate?s suitability for this test; therefore, all candidates must consult with the DCs on their preparation for this level of testing.

It is the policy of the BPC to financially support upper candidates by reimbursing candidates for the basic testing fees within 90 days after testing has been completed.  There will be no reimbursement for late fees or other additional fees incurred by the candidate.  BPC will pay for one testing opportunity at each of the levels: B, HA, and A. 

All travel arrangements for horse and/or candidate are the responsibility of the Pony Club member. 

GOOD STANDING IN THE CLUB

Members:  All National, Regional and Club dues must be paid in full.  Dues to the National and Regional Offices must be paid to the Club Treasurer prior to November 1st for the following year.  All outstanding debts to the club for clinics, clothing, rally fees, etc. must be paid in full at the time of service.

Sponsors:  Sponsor dues are established and paid at the annual sponsors? meeting that is held every fall.  Paying the sponsor fee allows one vote per adult.  Sponsors and parents are expected to participate in as many Club activities as possible.

NEW MEMBERS

New members will receive their first National Pony Club pin from BPC.  The club keeps extra pins on hand for purchase by members.  It is the responsibility of each Pony Club member to obtain a Pony Club Manual for the appropriate level.  Manuals are available through the United States Pony Club bookstore. 

CLUB EXPENDITURES

Before any BPC money is expended, a voucher must be obtained from the Club Treasurer.  The proposal must be approved by the Executive Board prior to monies being committed.  The completed voucher must be signed by the Club Treasurer and one DC.  Receipts are mandatory, and if not submitted to the Club Treasurer, money will not be reimbursed. 

PARTICIPATION IN REGIONAL RALLY

BPC actively prepares and supports all of the Pony Clubbers who wish to attend the MidSouth Regional Rally.  Rally participation is based on the level and readiness of both the rider and the horse.  The DC and/or Jt. DC have the final approval on which Pony Clubber is prepared enough to participate in the Regional Rally.

The Rally format is team oriented, therefore, the BPC may supply, as funds allow, items (such as the Equine First Aid Kit, Human First Aid Kit, Utility Box, Fire Extinguishers, Tack Cleaning Kits) that are to be used by all members of each team that are sent.  Individual Pony Clubbers are responsible for equipment that is suitable for their level and size of horse/pony.

Each team is required to have a Stable Manager.  The BPC pays the entry fee for each team?s Stable Manager.  The parents of the participating team members traditionally share the expenses (food, hotel, etc) of their team?s Stable Manager.
